- contact and professional details, such as your name, email address, telephone number, job title, organisation and social media profile;
- information you include in an enquiry, email, call booking or other correspondence with us;
- client relationship information, including proposals, instructions, project communications, invoices and payment records;

We collect information directly from you, from people acting for your organisation, and from service providers you choose to use when interacting with us, such as Calendly.
How and why we use information
UK data protection law requires us to have a lawful basis for using personal information. The basis depends on what we are doing and why.
| Purpose | Typical lawful basis |
|---|---|
| Responding to enquiries and arranging calls | Steps requested before entering a contract, or our legitimate interest in responding to business enquiries |
| Providing and administering our services | Performing a contract, complying with legal obligations, and our legitimate interests in running the business |
| Managing accounts, invoices and business records | Contract, legal obligation and legitimate interests |
| Keeping the website reliable and secure | Our legitimate interests in protecting the website, visitors and our business |
| Understanding and improving website use through analytics | Your consent |
| Sending relevant marketing communications | Consent where required, or legitimate interests where the law allows, always with a way to opt out |
| Establishing, exercising or defending legal claims | Legal obligation and legitimate interests |
Where we rely on legitimate interests, we consider the purpose, necessity and likely impact on you. You may object to this use in certain circumstances.
Website analytics
If you select Accept analytics, we use Google Analytics 4, provided by Google Ireland Limited, to understand how people find and use this website. Google Analytics may collect page addresses, referral sources, approximate location, browser and device details, interaction events and online identifiers. We also record clicks on our Book a strategy call links as lead events.
Analytics is disabled unless you consent. We do not enable Google Analytics advertising features through this website. You can withdraw your consent at any time by selecting Cookie settings in the footer. Withdrawing consent does not affect the lawfulness of processing that occurred before withdrawal.
Google may process information in the United Kingdom and other countries under its own safeguards. You can read how Google uses information from sites that use its services, and the Google Privacy Policy.
Bookings and third-party services
The Book a strategy call link takes you to Calendly. When you use that service, Calendly processes the booking information you submit and shares the details needed for us to arrange the meeting. Calendly also processes information under its own privacy notice.
Our website may link to other third-party websites. We do not control their privacy practices, so you should review the policy provided by the relevant third party.
International transfers
Some suppliers may process personal information outside the United Kingdom. Where data protection law requires it, we use an appropriate safeguard for those transfers, such as an adequacy regulation, approved contractual terms or another lawful transfer mechanism. You can contact us for more information about the safeguard used for a particular transfer.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, security and reporting requirements. Typical retention periods are:
- enquiries and prospect correspondence: normally up to 24 months after the last meaningful contact;
- client, contract, invoice and transaction records: normally up to seven years after the relevant relationship or transaction ends;
- marketing contact details: until you unsubscribe, object or we decide they are no longer required, with a minimal suppression record retained where necessary to respect your choice; and
- website security and technical logs: for the operational period set by the relevant hosting or security provider, and no longer than necessary for security and diagnostics.
- user-level analytics information: normally for no longer than 14 months, although aggregated reports may be kept for longer where they no longer identify an individual visitor.
We may keep information for longer where required by law or where it is needed for a current legal claim or investigation.
How we protect information
We use reasonable technical and organisational measures designed to protect personal information from loss, misuse, alteration, unauthorised access or disclosure. No internet service can be guaranteed completely secure, but we review our safeguards and limit access to people and suppliers who need it for a legitimate purpose.
Your data protection rights
Depending on the circumstances, you may have the right to:
- ask for access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to erase information;
- ask us to restrict how information is used;
- object to processing based on legitimate interests or direct marketing;
- receive certain information in a portable format; and
- withdraw consent at any time where we rely on consent.
These rights are not absolute and may be subject to legal exemptions. To exercise a right, email info@calzen.co.uk. We may need to confirm your identity before responding. We do not use personal information collected through this website to make solely automated decisions that have legal or similarly significant effects.
Marketing choices
You can ask us to stop sending marketing at any time by using the unsubscribe option in a message or emailing us. Stopping marketing does not prevent us from sending service or administrative communications that are necessary for an existing relationship.
Questions and complaints
Please contact us first if you have a question or concern about how we use your information. We will do our best to resolve it.
You also have the right to complain to the Information Commissioner's Office, the UK data protection regulator. Visit the ICO complaints page, or call 0303 123 1113.
Changes to this policy
We may update this policy when our services, suppliers or legal obligations change. The latest version will always appear on this page, with its updated date shown at the top.
